Administrative Assistant

As an Administrative Assistant you will support BounceX teams and leaders in a fast-paced, collaborative, one-of-a-kind environment. Each day, you’ll be tasked with organizing schedules on a day-to-day, weekly, and monthly basis to ensure all tasks are completed with time to spare. You’ll be the gatekeeper, prioritizing calendars and schedules as needed, maintaining a hassle-free work environment.

Responsibilities

  • Manage the calendar of assigned executive(s), including confirming attendance, meeting logistics, prioritizing multiple incoming requests and determining those that take precedence
  • Book travel, staying within budget and creatively resolve any last-minute travel emergencies
  • Provide meeting support including pre-meeting communication and expectation setting, distributing meeting recaps and following up with stakeholders to keep timelines in place
  • Communicate/Coordinate with third parties including external vendors, clients, investors and other interested parties
  • Organizing executive and departmental events including socials, off-site meetings, birthdays and other activities
  • Anticipate assigned executive’s needs, responding to last minute “fire drills” and managing other administrative tasks

Qualifacations

  • 1-3 years of experience as a receptionist/admin assistant/coordinator, or any similar role where you were the point person for a team
  • Demonstrated organization, prioritization, and communication skills within a fast-paced environment
  • Highly effective communications skills, optimistic attitude and high level of discretion when working with senior executives.
  • High level of emotional intelligence also required
  • Administrative, Customer Service or Hospitality experience preferred
